Job Summary/Basic Function
The Senior Administrative Associate serves as a key operational and administrative leader within University College, providing advanced executive-level support to the Vice Provost for Student Success/Dean of University College and the Associate Dean. This position is responsible for coordinating complex administrative operations, managing executive scheduling and communications, maintaining confidential records, and ensuring compliance with university policies and procedures. The role oversees meeting and event coordination, purchasing and financial documentation, personnel and travel processes, and departmental workflow management while supporting strategic initiatives and institutional deadlines.
In addition, the position provides administrative and operational support for the Applied Leadership and Adult Degree Completion Program, coordinating projects, procurement, budgeting processes, and program logistics. The Senior Administrative Associate also serves as the administrative lead for departmental support staff, promoting effective office operations, professional development, and continuous process improvement. This role supervises reception desk operations and front-line service functions, ensuring efficient daily operations and exceptional customer service for faculty, staff, students, and external stakeholders.
Required Education
Bachelor's degree required. A High School diploma and six (6) years directly related, progressively responsible secretarial/clerical experience may be considered in lieu of the Bachelor's degree.
Required Related Experience
Four (4) years progressively responsible secretarial and/or administrative office experience.
Note: a Bachelor’s degree and two (2) years of previous related experience may be considered. A High School diploma and six (6) years directly related, progressively responsible secretarial/clerical experience may be considered in lieu of the Bachelor's degree.
Desirable Related Experience
Bachelor's degree preferred and (6) years progressively responsible work experience in higher education. Experience supporting high level executives is preferred.
