Job Summary/Basic Function
Reporting directly to the Assistant to the President for Community Engagement, this position provides high-level administrative support to the Assistant to the President for Community Engagement. This position serves as the primary liaison for the office, managing daily operations, budgeting, and communication with internal and external stakeholders. The successful candidate will maintain a professional environment while handling sensitive information and supporting the university’s mission of community engagement. Position is part-time, with a flexible 18.75 hours/week schedule.
Basic Functions:
Office Operations & Public Relations: Act as the first point of contact for visitors, guests, and callers. Manage high-volume inquiries from community members, students, and staff, providing direct information or appropriate referrals.
Fiscal Management: Perform administrative duties associated with purchasing and budgeting. This includes entering requisitions, tracking specific budget line items, and managing travel authorizations and expense reimbursements.
Executive Support: Coordinate the Assistant to the President’s calendar, schedule appointments, and plan travel for conferences and special events. Prepare meeting agendas, attend sessions to record minutes, and ensure follow-up on action items.
Clerical & Data Management: Maintain the community partner database and facilitate the approval process for agreements between the university and outside agencies. Establish and maintain digital and paper filing systems for confidential correspondence and project files.
General Administration: Prepare routine correspondence, forms, and reports. Order office supplies and oversee equipment maintenance.
Supervision: May provide functional supervision to student workers, graduate assistants, and temporary employees.
Required Education
Bachelor’s degree
Required Related Experience
One year of progressively responsible experience providing a variety of senior administrative/clerical support. Note: A high school diploma and four years of listed experience, or an associate’s degree (two years of college coursework) and two years of listed experience may be considered.
Desirable Related Experience
Prior experience in higher education or business-related field.
Direct experience utilizing Oracle, Dynamic Forms, and DocuSign.
Desirable License/Registration/Certification
Bachelor’s degree.
Certified Administrative Professional Certification (CAP)
